Send a late rent notice the day after the grace period in the lease ends, or the day after the due date when the lease grants none, and send it the same way for every lease. The notice states the amount owed, the original due date, the days past due, how to pay, and who to contact. Keep a record of when it went out, and repeat it on a fixed cadence while the balance stands.

You are the part of this that has to notice. Nothing in a spreadsheet raises its hand when a charge goes unpaid; someone opens the bank tab, compares it to the roll, and decides whether today is the day to say something to a person they will see in the lobby. At 20 units that decision gets made every month. At 300 it gets made for the residents who are already a problem and skipped for the ones who are a few days late for the first time, and a resident who pays late and hears nothing has been told that late is fine.

This is a spoke of Automated Rent Collection: From Charge to Cleared Payment, which covers the whole cycle. This one covers the notice alone: when to send it, what it should say, how it differs from the formal notice your market prescribes, the procedure step by step, and how Scaalr sends overdue rent notices without anyone deciding to.

When to send a late rent notice

A late rent notice (also called a past-due or overdue rent notice) is a written reminder to a resident that a rent charge has not been paid, sent under the lease on the operator's own schedule. Most leases grant a grace period, a few days after the due date during which rent is accepted without a late fee, and the notice belongs on the first day after it ends; a lease with no grace period puts it on the day after the due date. In some markets a minimum grace period, or a required warning before any formal step, is set by statute, so the lease's terms sit on top of local rules, and the lease is still where you read the trigger from. A grace period delays the late fee and the notice; it never moves the due date, and rent paid inside it is still late.

The day matters less than the consistency. A trigger applied to every lease the same way is a fact about the portfolio; a trigger applied when you get around to it is a judgment about the resident, and residents compare notes. The first late payment gets a notice too: the notice states that a balance is open, not a verdict on the person, and a resident who hears from you the first time learns the real due date without a conversation. A partial payment gets the same notice for the shortfall, and a call can go alongside it when the situation calls for one.

What a late rent notice should say

A late rent notice carries the facts the resident needs to act and the facts you will need later, and nothing else. The list below is the template: send it as an email or a letter, and fill every line from the lease and the ledger rather than from memory.

  • The date sent, which fixes the notice on the timeline if the balance keeps aging.
  • The property and unit, exactly as the lease names them.
  • The residents named on the lease, every one of them, since each is responsible for the rent.
  • The amount owed, with a late fee included only where the lease allows one and shown as its own line.
  • The original due date, which restates what the lease says without arguing about it.
  • How many days past due the charge is, as of the date sent.
  • How to pay: the methods you accept and where the payment goes.
  • Who to contact and how, so a resident with a problem reaches a person rather than a form.
  • A line about payments already made: if the payment has gone out, tell us, and disregard this notice.

The tone is the tone of a bank statement: say what is owed, how to pay it, and how to reach you, and stop. A reminder that threatens is no longer a reminder, and it becomes part of the record you will one day want to rely on.

A late rent notice is not a notice to pay or quit

A late rent notice and a formal notice for non-payment are two different documents, and the difference is who sets the rules. The reminder runs on the lease and on your schedule. The formal notice, called a notice to pay or quit in much of the US and prescribed as a specific form in some other markets, runs on the law: its wording, its minimum period, and the way it must be served are set by the jurisdiction, and ignoring it leads to a filing. The test is content rather than title: a letter that sets a deadline to pay or leave is a formal notice whatever its heading says. Nothing here is legal advice; the formal step always follows your market's rules. The table compares the two.

How to send late rent notices, step by step

Sending late rent notices is the same seven steps at any size, in any system, and each step exists to keep a later one honest.

  1. Write the terms into the lease. Due day, grace period if any, late fee where your market allows it, and how notices will be delivered. Every step below reads from this.
  2. Fix the trigger. The day after the grace period ends, the same day for every lease, written down where everyone who touches rent can see it.
  3. Confirm the charge is open. Check the payments recorded against it, any partial payment, and anything in transit before anything sends.
  4. Send the first notice with the fixed facts. Amount, original due date, days past due, how to pay, who to contact, and the line about payments already made, in the same words for every resident.
  5. Record it. What went out, to whom, when, and how. The record is what the formal step will stand on.
  6. Repeat on cadence while the balance stands. Every few days, same message, each one recorded, until the charge is paid or you decide otherwise.
  7. Make the judgment calls yourself. A payment arrangement, a waived fee, or the formal notice your market prescribes are decisions, made with the notices and their record in front of you.

How old a balance is, across the whole portfolio and by resident, is a different report from the notice: the receivables aging, which A/R Aging Report for Property Managers: How to Read It reads week by week.

Why late rent notices should send themselves

A manual late rent notice fails in three ways, and all three are invisible on the day they happen. It gets skipped, because it depends on somebody noticing an unpaid charge and then raising it with a person they know, the most avoided conversation in the job, so it waits for a quieter day. It gets applied unevenly, because the resident who argues gets chased and the quiet one does not, and the unevenness is what you cannot defend when the formal step arrives. And it goes unrecorded, because the reminders that did happen were a call from the car or an email from a personal inbox, and the file that should support the formal notice is a memory.

Automated late rent reminders remove the deciding, not the judgment. The system states a fact on a rule, in the same words every time, with a record; you keep the decisions that need you: the arrangement a resident asks for, the fee you waive, the formal step you take. A resident's first contact about a late payment becomes a reply to a notice instead of a call you had been putting off.

How Scaalr sends overdue rent notices

In Scaalr the overdue notice is a nightly sweep, not a task on anyone's list. Every night a background service finds every rent charge more than three days past due that has not been paid, waived, written off, or refunded, flags it overdue so it appears on the Overdue tab of the rent roll with its lease flagged the same way, and emails every resident on the charge a branded Overdue Rent Payment Notice. The notice states the charge amount, the due date, and the number of days past due, asks for payment, and tells the resident to disregard it if the payment has already been made and to contact you about arrangements. It goes out with your mailbox as the reply-to address, so a resident who answers reaches a person, in the inbox that The AI Property Management Inbox describes.

The cadence is fixed and the exceptions are yours. No resident is emailed about the same charge more than once every three days, and the notice repeats on that cadence until the charge is paid, waived, written off, or refunded. A per-lease setting decides whether notices go out for that lease at all, so a resident on an arrangement you have agreed can be taken off the cadence without touching anyone else's. Residents cannot unsubscribe from the notice, because it concerns a balance owed under their lease; the notice says so and points them to you. The charge itself is the one the nightly generator created from the lease, covered in How to Keep Your Rent Roll Accurate as Your Portfolio Grows, which is why the notice states the due date and the days past due without anyone looking them up.

Every notice is recorded in the email delivery log with the recipient, the subject, the time it was sent, and its delivery status, and the message can be opened as sent and resent from there, so what a resident was told, and when, has a dated answer. What stays yours is the judgment: the payment arrangement, the late fee, the waiver, and the formal step your market prescribes. Overdue rent notices and the email delivery log are part of every plan, including Starter.

Key questions

How many days late before I send a late rent notice?

The day after the grace period in the lease ends, which is usually a few days after the due date, and the day after the due date when the lease grants no grace period. Pick the trigger once and apply it to every lease, because a trigger that moves is the one a resident remembers. In Scaalr the notice goes out once a charge is more than three days past due.

What should a late rent notice include?

The date it was sent, the property and unit, the residents named on the lease, the amount owed, the original due date, how many days it is past due, how to pay, who to contact and how, and a line saying that a payment already made can be disregarded. A late fee appears only where the lease allows one. Nothing else is needed, and a threat makes a reminder into something it is not.

Is a late rent notice the same as a notice to pay or quit?

No. A late rent notice is a written reminder that rent is unpaid, sent under the lease on your own schedule. A notice to pay or quit, the usual name in much of the US for the formal notice for non-payment, is a legal instrument whose wording, timing, and service are set by law, and other markets prescribe their own form for the same step. The reminder usually comes first and its record supports the formal step, but neither substitutes for the other.

Can I send a late rent notice by email?

Yes, for the reminder. Email is dated, reaches the resident where they already read, and leaves a copy of exactly what was sent and when, which is the record you want if the balance keeps aging. Keep that copy with its timestamp. The formal notice is a different matter: your market's rules say how it must be served, and a method that works for a reminder may not count for it.

What if the resident says they already paid?

Check the charge before you answer. A payment recorded against it closes the question, and a payment on its way, a transfer in transit or a check in the mail, gives you a date to hold the next notice for. The notice itself should say that a payment already made can be disregarded, so a notice that crosses a payment costs a short reply rather than an argument, and the record shows both sides acted in good faith.

How often should I follow up on late rent?

On a fixed cadence while the balance stands, a few days apart, with the same message each time and a record of each one. Daily messages read as pressure, and weekly ones let a balance age a month in four messages; every few days keeps the balance in view without crowding the resident. Scaalr repeats the notice every three days until the charge is paid, waived, written off, or refunded.

Which Scaalr plan includes overdue rent notices?

All of them, including Starter. The nightly overdue sweep, the notice, the three-day cadence, the per-lease setting, and the email delivery log are part of rent collection, which is on every plan; Starter is free for the first 5 units, then $0.99 a unit a month. Growth, at $99 a month for the first 50 units and then $1.49 per additional unit, adds invoice emailing and online card payment.
